4. Legal basis and purpose of personal data processing

The legal basis for personal data processing in accordance with the EU General Data Protection Regulation is the consent of the individual (documented, voluntary, specific, informed, and unambiguous).

The purpose of processing personal data is

  • to maintain working group applications and registrations
  • to communicate with registrants about the working groups
  • to collect feedback from registrants
  • to compile statistics

5. Personal data processed

The controller processes the following personal data in connection with the register of working groups:

  • basic information about the registrant, such as name, year of birth and nationality
  • the registrant’s contact information, such as email address, phone number, and address
  • other information collected with the registrant’s consent, such as the registrant’s educational, organizational and professional background, requests or wishes to the association

We obtain information only from the registrants themselves.

7. Disclosure and transfer of data

We use cloud services for the processing of personal data. Working group data is stored in Tunne ry’s digital register on servers managed and protected by Google. We use Google’s cloud services. Google stores Tunne ry’s data on servers located in the EU. Google describes how it complies with the requirements of the EU General Data Protection Regulation on its DPA page.

We do not transfer personal data outside the EU/EEA or to other external parties.

8. Data protection and retention periods

Only designated persons are authorized to use the system containing personal data. Each user has their own username and password for the system. The data is collected in databases that are protected by firewalls, passwords, and other technical means.

We store personal data for the duration of the working group participation and the subsequent feedback collection period. After the activity, the identification details of individual registrants are deleted and participant statistics are compiled for the development of Tunne ry’s activities and for reporting on the results and impact of the activities supported.

The controller regularly assesses the necessity of storage, taking into account the applicable legislation. In addition, the controller shall take reasonable measures to ensure that no personal data that is incompatible with the purposes of the processing, outdated or inaccurate is retained in the register. The controller shall correct or delete such data without delay.

9. Rights of the data subject

The data subject has the right to inspect the information stored in the personal data file concerning him/her/them and to request the correction or deletion of incorrect information, if there are legal grounds for doing so. The data subject also has the right to withdraw or change his or her consent.

In accordance with the General Data Protection Regulation, the data subject has the right to object to or request the restriction of the processing of data and to lodge a complaint with the supervisory authority regarding the processing of personal data.

For specific personal reasons, the data subject also has the right to object to processing operations concerning them. When making a request, the data subject must specify the particular situation on the basis of which they object to the processing. The controller may refuse to comply with a request for objection only on the grounds specified in the law.

If we change this statement, we will announce the date of the update on this page.
